Change for the better

Entropy is the universe’s oldest habit. A desk tidied on Monday is chaos again by Friday, and no bookshelf stays alphabetized once people start reading the books. Order, wherever you find it, means somebody is maintaining it.

The systems we work inside have the same habit. A workflow begins its life clean, and every month after that someone bends it a little. A rogue workaround here, a custom field there. Each change made sense to whoever made it, but years later most of those people have moved on, and the reasons went with them.

But the system remembers everything, and that memory has weight. Every team feels it as drag, the small daily rituals, the remembering which status means what, until tracking takes more of the week than the things being tracked.

Somewhere someone is trying to keep order, an admin pruning fields nobody fills in anymore, or a program manager who remembers why each rule exists and retires it when the reason does. The tidiness holds for as long as they keep holding it, the way a garden stays a garden only while someone weeds.

Despite their best efforts, the demands on the system keep growing. Teams are building faster, with new tools and, increasingly, agents working alongside them, and every new way of working means more bending, more fields, and more workarounds. The cost of staying rises a little every year, while the cost of changing doesn’t.
